These are the publicly listed prices for the "Pro" tier of each vendor as of mid-2026, paid monthly. They are list prices — not what most enterprise buyers actually pay. Real-world discounts include 10–20% off for annual prepay, volume discounts above 50 seats, multi-year commits, non-profit programmes, and startup credits. We use list prices in this v1 calculator so the comparison is apples-to-apples; mention you saw the list price when negotiating and you will usually get 15% off without asking.
The one-time figure includes engineering (full-stack web app, API, role-based auth, basic mobile-responsive UI), the features you tick (pipeline, dashboards, integrations, etc.), and a soft launch with your team. The recurring figure ($800/month India build, $2,000/month US build) covers cloud hosting, monitoring, security patches, and ~20 hours/month of bug fixes and small change requests. It excludes: data migration from your legacy CRM (typically $3,000–$15,000), per-vendor integration cost (Slack, accounting, helpdesk — $1,500–$5,000 each), and admin headcount on your side.
On-premise (deploying inside your own VPC or datacentre for compliance) adds $10,000 to the one-time custom build because you need a hardened deployment pipeline, encrypted-at-rest storage, audit logs, and runbooks for your DevOps team. The vendors handle this very differently — Salesforce charges 50–100% premium for "Government Cloud", HubSpot does not offer self-hosted, Zoho offers private deployment for enterprise contracts only. If on-prem is a hard requirement (HIPAA, RBI data-residency, defence procurement), custom build is usually the only realistic path.
White-label means the CRM ships with your logo, your domain (crm.yourcompany.com), your colour scheme, and zero "Powered by Salesforce/HubSpot" branding anywhere. The four vendors all show their own branding by default; HubSpot lets you remove it on the highest tier (~$300/user/month), Salesforce removes it via Experience Cloud add-on, Zoho and Pipedrive surface their brand permanently. With a custom build, white-label is just CSS and a domain — we charge a small premium ($2,000) to design a clean brand-aligned UI rather than a generic one.
